Printer Offline? How to Fix It on Windows and Mac

The printer-offline message tells you almost nothing, and the causes are almost always simple. Work top to bottom.

1. The physical checks (30 seconds)

Power on, cables seated, paper loaded, no error lights. A surprising share of offline printers are simply unplugged or out of paper.

2. Is it actually on the network?

Print a network configuration page from the printer's menu. Confirm it joined your Wi-Fi — printers love silently joining the neighbor's network after a router reset.

3. Windows: clear the queue, restart the spooler

  1. Settings → Bluetooth & devices → Printers → your printer → open the queue → cancel everything.
  2. Win+R → services.msc → Print Spooler → Restart.
  3. Printer properties → Ports — a direct TCP/IP port to the printer's IP is more reliable than a stale WSD port.

4. Mac: reset the print system

System Settings → Printers & Scanners → right-click the list → Reset printing system, then re-add the printer. Heavy-handed, but it clears the corrupted state behind most Mac offline errors.

5. Check offline / pause modes

Windows: right-click the printer in Devices and Printers — uncheck Use Printer Offline and Pause Printing if ticked. Both get enabled accidentally more than anyone admits.

6. Update or reinstall the driver

Download the current driver from the manufacturer's site — never the generic one Windows picks. If problems persist, delete the printer entirely, reboot, and add it fresh.

If it keeps going offline

Recurring episodes usually mean the printer's IP changed while your computer points at the old one. Reserve the printer's IP in your router's DHCP settings, or connect via its hostname. Signal problems? Printers are as picky as laptops — see router placement.

Choosing a more reliable printer? Inkjet vs laser explains the economics, and wireless setup covers first-time configuration.
